Set up:
All exhibitors will have access to set up in the venue on Wednesday 12 October, 3-5pm.
Exhibitors must not arrive ahead of the 3pm set up as other suppliers will be setting up. If ahead of the event we find we can grant earlier access, we will let you know.
Exhibitors must not stay past the 5pm set up time.
If you cannot set up the day before, all exhibitors will have access to the venue from 7:30am on Thursday 13 October. If you choose to set up on the event day, your stand must be set up by 9am.
Upon arrival to the venue, please check-in with a Norfolk Chambers staff member who will help to guide you to your stand. Once you have unloaded your equipment please make sure your car is moved to the main event car park. Stewards will be on hand to guide you.
Pack Down:
Exhibitors may pack down 4-5pm on Thursday 13 October. Exhibitors must not pack down before 4pm. Under rare circumstances, some exhibitors may pack down earlier, but you must not do so unless approved by a Norfolk Chambers staff member. On the day of the event if you are permitted to pack down earlier, we will let you know.
On Friday 14 October, 9am – 12pm exhibitors may also pack down their stands.
Access:
Throughout the exhibition, access to the venue in vehicles will be via the gate opposite Premier Inn. In reference to the ‘Showground Map – Grid Reference and Gate Numbers’ document, this is number 1, grid reference N5.
During set up and pack down exhibitors will be able to unload via fire doors along the venue, however exhibitors must not open or close these without permission of Norfolk Chambers staff. All fire exits must be kept closed 9am – 4pm on Thursday 13 October.
Free parking is available at the venue throughout the duration of set up, pack down and on the event day. Stewards will be on hand on the event day to guide you where to park.
On the stand:
What’s included in your stand will depend on what stand size you have chosen:

On your stand you will also have a pack including all the information needed for the day such as Wi-Fi details, the event guide and more.
Are there any restrictions with the stand?
Your stand must follow appropriate health and safety legislation at all times. Exhibitors must not spill out of their designated area. Markings will be placed on the floor to assist with this. If you feel you are bringing items that are obscure, please check with Norfolk Chamber in advance of the show.
Alcohol: If you are looking to serve alcohol on your stand you must notify us in advance of the event and provide a contact name for the day who will be managing this.
Balloons: Exhibitors are welcome to bring balloons or balloon displays to their stand; however, we ask you do not fill these with helium.
Animals: Dogs are welcome to the show as long as they are kept on a lead and are used to a busy environment. For requests of any other animals please contact a member of Norfolk Chamber team to confirm.
How many staff can we bring?
As many as you like! In fact, the more the better! We encourage all exhibitors to bring enough staff to make sure everyone can have a break during the day. You may also want to bring additional staff to go and have a look around the exhibition too. Please make sure you send all exhibitors names by Friday 8th October
How can I shout about what I’m doing at the event?
If you are running any offers, competitions or giveaways, don’t forget to let us know so we can add these to our website, share them on social media and share them with visitors. Don’t forget to also promote them yourselves and tag us on Twitter: @NorfolkChamber and on Instagram: @norfolkchamber, LinkedIn and Facebook using #NorfolkB2B22
AT THE EVENT:
What if I’m missing something?
If at any point you are missing an information sheet, a table or anything else, please come to the main reception and speak to a Norfolk Chambers staff member.
Will we be briefed on the day?
Members of Norfolk Chambers staff will be briefing exhibitors throughout the morning on the event day. The information within briefing is all covered on this sheet, so we are just making sure you’ve taken the time to read this through. If you have not been briefed by 09:30am please speak to a member of Chambers Staff.
Can I swap my stand if I don’t like it?
As all of our exhibitors have chosen their stands you cannot swap your stand on the day. Your exhibition stand number will be printed in a number of places on the day to aid visitors in finding you, swapping stands would hinder this. Please also remember that your equipment needs to fit in your exhibition area and not spill into another exhibitor’s space.
What if I don’t need the table provided?
If you don’t need the table provided, please let a member of Norfolk Chambers staff know.
If I’m having any issues with equipment, what should I do?
If you are having any issues with WiFi, electric sockets, or if you need anything like tape, pins etc., please contact a member of Norfolk Chamber staff by going to the reception. They will help send the appropriate person to your stand.
What shall I do with my equipment bags/packaging?
If you have any packaging that can be thrown away, please bring this to reception where the Norfolk Chambers team will assist with disposal. With any other equipment bags/boxes needed, please store these either behind your stand if there is room, or in your vehicle throughout the event.
Are there refreshments?
Complimentary tea and coffee is available for exhibitors 7:30 -10am on the event day.
Refreshments, catering and drinks can be bought from the catering area as shown in the event guide throughout the remainder of the event.
Exhibitors are welcome to bring their own refreshments too.
Can I attend the speed networking and workshops?
Of course you can! We just ask that you try not to leave your stand without staff, we don’t want you to miss out on great conversations.
Media:
Norfolk Chambers will be using our social media channels throughout the event to share information and photographs. Attendees may also use their own channels to share information and photographs from the event.
We will have a professional photographer at the event who will be taking pictures throughout the day – don’t be shy, please grab them if you would like your photo taken.
